DESCRIPTION OF POSITION:
Under the direct supervision of the Executive Assistant, the Receptionist/PBX operator is responsible to greet and provide assistance to guests and staff members in person or on the telephone; to distribute mail and messages accurately and in a timely manner; and perform other back-office functions as needed.
KEY RESPONSIBILITIES:
· Receive and route all telephone communication in a prompt and courteous manner and assist in placing outgoing calls, as requested.
· Greet and log-in all visitors and assure control of access to patient care areas.
· Respond to visitors’ questions while maintaining patient confidentiality.
· Accurately relay messages to staff and physicians.
· Receive, sort and distribute incoming mail in assigned mailboxes.
· Provide typing/word processing, spreadsheet data entry, clerical support and assists with special projects, as time allows, and assign same to PBX staff.
· Able to handle and facilitate crisis and emergency situations in a calm and professional manner.
· Assist with back-office/clerical support for Utilization Review, Quality Assurance and other assigned departments as time allows.
· Perform scanning of key documents in accurate manner for assigned departments, at time allows.
Minimum Requirements:
Education and Licensing:
· High School Diploma or above, preferred.
Knowledge and Experience:
· Two (2) years or above business office or customer service experience, preferred.
· Ability to handle stressful situations.
Skills and Abilities:
· Maintains a desirable working relationship with staff and their office personnel.
· Sends and distributes faxes in a timely fashion.
· Maintains PBX schedule and is responsible for changes and coverage.
· Sells meal tickets, records receipt and keeps stored in secure area.
· Other duties as assigned.
Physical Requirements:
While performing the duties of this job, this position is frequently required to do the following:
· Use standard office equipment and access, input, and retrieve information from a computer. Use computer keyboard with manual and finger dexterity and wrist-finger speed sufficient to perform repetitive actions efficiently for extended periods of time.
· Communicate effectively in person or via telephone in a manner which can be understood by those with whom the person is speaking, including a diverse population.
· Give and follow verbal and written instructions with attention to detail and accuracy.
· Perform complex mental functions and basic arithmetic functions; interpret complex laws, regulations, and policies; collect, interpret, and/or analyze complex data and information.
· Vision: see details of objects at close range.
· Coordinate multiple tasks simultaneously.
· Reach forward, up, down, and to the side.
· Sit or stand for minimum periods of one hour at a time and come and go from the work area repeatedly throughout the day.
Lift up to fifteen (15) pounds.
