OT Scheduler


 

Pay Rate: $21-$28 per hour

Are you good at puzzles? MeBe is seeking a hybrid position of OT scheduler to join our rapidly growing administrative team! MeBe provides Applied Behavior Analysis (ABA), Speech Language Pathology, and Occupational Therapy services to its clients. Under the supervision of the Director of Occupational Therapy, this critical role provides scheduling support & coordination to MeBe’s clients and providers. The role directly impacts client family satisfaction and therapeutic progress, while also supporting employee satisfaction.

A crucial aspect of this role involves helping optimize staff and client schedules so that MeBe can meet the needs of families as quickly as possible while ensuring that our clinicians have an outstanding experience. The OT Scheduler is responsible for collaborating with a team of schedulers, while working directly with OT providers and clients’ families, building schedules for clients and managing daily schedules for the providers.

WHAT YOU’LL DO:

  • Manage schedules for all MeBe’s OT clients, including but not limited to, regular scheduled services, assessments, makeups, cancellations, sub sessions, etc.
  • Take and respond to all phone calls and emails related to scheduling.
  • Communicate information about scheduling and related topics between providers, client families, and/or other relevant parties.
  • Own the appointment cancellation process: input and track all client and provider cancellations in accordance with our cancellation policies and procedures and track client attendance.
  • Adhere to policies and requirements of funding sources regarding appropriate staff credentials/certifications/qualifications.
  • Identify and correct problems related to the scheduling of OT services.
  • Provide concierge-level customer service while interacting with clients, and team members over the phone, in person, or via electronic communication.
  • Oversee and perform various clerical and administrative tasks related to scheduling and associated issues that require initiative and independent judgment.
  • Collaborate with schedulers in other departments to ensure high quality customer service
  • Respond to daily operational requirements in a professional and timely manner.
  • Other duties as assigned.

ADDITIONAL JOB DETAILS:

  • Equipment provided
  • Hours are typically 8:00 AM PST to 5:00 PM PST, but they may vary
  • Hourly, Non-Exempt position

REQUIREMENTS:

  • High school diploma or equivalent
  • Minimum 2-years of scheduling in the medical field, preferably scheduling for pediatric services
  • Proficient skills in Google Maps and other mapping applications
  • Prior experience with scheduling software is a plus
  • Have an understanding of pediatric therapy is a plus, but not required
  • Speaking Spanish is a plus, but not required
