Executive Assistant

Job Description

Student National Pharmaceutical Association is seeking an Executive Assistant to support our CEO. This position will report directly to the CEO and will be a key member of the executive team. The Executive Assistant will be responsible for administrative tasks, including managing calendars, managing email, scheduling meetings, and maintaining a filing system. This position will also be responsible for developing and implementing new systems to improve efficiency and streamline operations. The Executive Assistant will also assist in other areas of the business as needed.

Qualifications
·Bachelor’s degree in business or related field preferred
Executive assistant must be able to pleasantly work with all national board pharmacy students, sponsors, parent organization (NPhA), and other outside vendors. Position is part time (30-40 hours per MONTH) and salary will be based on experience and education.

Requirements: 2 to 5 years of being in a role such as an Executive Assistant. Need to be highly motivated, very organized and passionate about service to underserved communities. Excellent communication skills required with the need to understand confidentially. Strong problem solving and customer service skills.

Essential job functions:

  • Field all communications – electronic or telephonic – to appropriate parties
  • Develop and carry out an efficient documentation and filing system
  • Maintain student contact lists
  • Handle day-to-day operations and office procedures
  • Solidify all travel schedules and hotel bookings, after approval
  • Register executive committee for regional and national meetings
  • Upkeep of the membership database, any office purchases and paraphernalia purchases after approval
  • Maintaining convention databases and planning
  • General accounting and reporting
  • Initial contract negotiation prior to final approval
  • Some website oversight
  • Receive, copy, and distribute all applications and transcripts, and all other duties as assigned
  • Speak with the Executive Director at least weekly to ensure that all duties were properly handled
  • Serve as the conduit for dispersing goods from the online store
  • Attend monthly executive board meetings
  • Coordinate executive board food for conferences

Skills

  • Professional communication and independent problem-solving skill
  • Ability to multitask and prioritize daily workload & calendar management
  • Light bookkeeping skill/experience preferred
  • Discretion and confidentiality
  • Exemplary planning and time management skills, conference planning is a plus
  • High level verbal and written communications skills
  • Full comprehension of office management systems, procedures, and current office apps. (Excellent knowledge of Excel, Word, PowerPoint, Google workspace etc.)

Job Types: Part-time, Contract

Pay: $1,500.00 - $2,000.00 per month
